Conducting Your Small Group Coaching Calls

Before Small Group Calls

  • Review Suggested Call Structure for an outline of the suggested call structure.
  • Review this page for the responsibilities of a Functional Nutrition Coach, as well as the importance of setting boundaries.
  • Review the monthly pillar training that was done by Dr. Ritamarie the first week of the month. Be familiar with any of the assessments, downloads, and action plans to go over with the group. (The first pillar training will be in October.  September’s call is all about getting to know each other.)
  • Send a reminder email to your group members, including the date, time, and access link and phone number. Mention the pillar, and any advance reading or viewing that would be helpful.  Remind them about any assessments or action plans that might be appropriate for them to have done before coming to the group call.

During Small Group Calls

  • Start by celebrating successes.  Give each person a minute, or less, to share something positive that they’ve accomplished since the last call.  It will take some practice to do this in a succinct way.  Don’t be afraid to have a timer, and to let people know that they can share more later during the call.
  • Next, review the pillar for that month. Review any assessments, downloads, and action plans.
  • Conduct the remainder of the call per the suggested guidelines in Suggested Call Structure. Allow 10-15 minutes per person to discuss their needs and challenges as it pertains to the pillar
  • One coach will lead the call and the other will take notes in the ERC Coaching Call Notes Google form. You can open up the Google form for each client in your browser, and then have it all prepped and ready to go during the call with their name, etc.  As each one shares, you fill it out and submit it.  When it’s all done, we’ll have a spreadsheet where Dr. Ritamarie can see their responses when they come to the ERC Open Coaching calls.
  • End the call with a one minute share per person, that includes their highlight breakthroughs, one thing they learned, or one shift they had as a result of someone else’s share, and one action (or more) that they are committed to do by the next meeting.
  • The note-taking coach should record this in the ERC Coaching Call Notes Google Form. Upon completion of that form, complete the the appointment tracking follow-up form appointment tracking follow-up form as described above.

After Small Group Calls

  • If you feel they are ready for a particular program, you can open it for them by checking it off on the form. Be careful to avoid overwhelm, and only open 1 program at a time, and only if they are ready.  For a full list, see the ‘Opening Modules/Programs Included in ERC’ page.  
  • Upload the recording to their Google Drive folder, and put the link in their Health Tracker, in the ‘Appointment Tracker’ tab.
  • Send an email after the call. Let them know that a  recording will be available in their folder.  Include in the e-mail a summary of the call and action steps people agreed to take.  If possible  include some type of recipe or tip based on the call.

Ongoing Group Coaching Support

  • Read and respond to the “Weekly Online Progress Journal” for each member in your group. This generally is at most 5 minutes per person, and is  usually much less.
  • Encourage communication between group members via ERC Facebook group or e-mail. https://www.facebook.com/groups/ERCInnerCircle/
  • If you’d like, find out their birthday and send them a card or mail to celebrate with them.
  • Remind each of your group members to fill out, submit, and forward to you their 90-day Goals Evaluation every three months. This is a good time to see where people are at and if they need to adjust the goals they created at the beginning of the year: ERC Progress: 90-Day Goals Evaluation
  • At the end of the year, as you wrap things up with the group, have them fill out, submit, and forward you a copy of their 12-month evaluation.  As you review this, think of what would be the best next step for this person. ERC Progress: 12-Month Evaluation
